Once you and each of your team members are aligned on roles and responsibilities, be sure to communicate these clearly to the team and provide ongoing support to help team members succeed in their roles.

Once you have set the goals, identify the KPIs that will best monitor progress towards those goals. Then ask each of your team members to report their KPIs each week or month at the team meeting. This is introducing accountability on performance for each team member, with everyone reporting their progress.

Set up a daily and weekly meeting structure

Last week – what happened, and everyone reports their KPIs (accountability)
Issues – What needs dealing with out of last week?

Next week – What are the actions for the next week?

This meeting should be no more than an hour long. The add-in a daily huddle, on the other operational days of the week, hold a maximum 15-minute daily huddle to update on progress. Train your team to use these meetings as the main form of communication other than urgent communication to reduce the amount of disrupted time during the day.

When you are sitting at your desk trying to work through a dull but important piece of work and something pings or pops up on the screen, do you look at it? Probably yes. How often is it important? More important than what you should and need to be doing? Not often, but you have allowed yourself to become distracted.

If we have all of these things interrupting our flow of thought and work, how inefficient have we become? Are these interruptions important enough to warrant the disturbance to what we should be focusing on?

 

Most communications are not urgent in the sense that they need to be dealt with there and then, a few possibilities are and allowance can be made for this. If you and your team devise a set of rules for periods of uninterrupted working, how much more work would get done?

When team members can communicate effectively, they can work together more efficiently and avoid misunderstandings. Encourage open communication within the team and provide opportunities for team members to share their ideas and feedback.

When doing the role and responsibilities exercise, identify with your team member where they would benefit from further training to fulfil all of their responsibilities to the required standard and agree on a timeframe for delivery of that training.
