But who teaches us how to delegate in a proven way to ensure success? In this article we describe the 10 methods to empowering your team and you to get the outcomes you need and want whilst ensuring the project is going as you would have it. 

Delegation is an essential management tool that enables leaders to share responsibilities and ensure that tasks are completed efficiently and effectively to the level which you require. Effective delegation involves; assigning tasks and responsibilities to the right person, setting clear expectations, and providing the necessary support and resources.

Here are the 10 methods that I use to delegate responsibilities effectively: 

 

  1. Define the Task or Project: Before delegating a task, it is important to define it clearly and simply. This includes the goals, timelines, any resources required, and predicted outcomes for it to be deemed a success. This will support the person who is assigned the task to understand the importance of the task and what is anticipated of them.
  2. Choose the Right Person: When delegating, it is critical to choose the right person for the job. Consider the individual’s skills, experience, and capabilities. Selecting someone who is passionate about the task or has experience in the area will dramatically improve the chances of success. 

3. Set Expectations: Clearly communicate the goals, timelines, and expectations for the task or project. This includes discussing the desired outcome and any specific requirements in a simple manner. Setting clear expectations will ensure that the person assigned the task understands what is required of them. 

4. Provide Resources: To ensure the success of the task, it is important to provide the necessary resources. Set them up for success, make sure they have the training, tools, equipment, and support needed. Providing the necessary resources will enable the person assigned the task to complete it successfully. 

 

5. Monitor Progress: Don’t wait until the ned to find out it’s not going as planned. Regularly checking in on progress is an important part of delegation. This allows for any issues to be addressed early on and for adjustments to be made if necessary. It also provides an opportunity for feedback and recognition of successes. 

 

6. Provide Feedback: Feedback is an important part of the delegation process. It allows the person assigned the task to know what they are doing well, which sustains momentum and motivation, and supports them when they need it. Providing constructive feedback can also help build the person’s skills and confidence. 

7. Empower the Person: When delegating, it is important to empower the person to take ownership of the task or project. This includes allowing them to make decisions and providing the necessary support to do so. Empowering the person will increase their enthusiasm and sense of responsibility.

 

8. Recognise Success: Recognising and celebrating success is an important part of delegation. This can be done through praise, rewards, or promotions. Recognising success will help build the person’s confidence and increase their motivation to take on future tasks. Remember some people want other to see them do well so ensure that the recognition is shared with the wider business or department. 

9. Trust and Respect: Trusting the person assigned the task to complete it successfully is important. Respecting their abilities and providing support will enable them to perform at their best. Don’t intervene when not expected, this will destroy and trust and respect they believe you have in the by giving them the task in the first place 

10. Hold Accountability: Although delegation involves giving responsibility to someone else, it is important to hold them accountable for their work. This means setting deadlines and you sticking to them too! By following up at those points ensures that the task is completed on time and to the desired level of quality. 

 

Using these top 10 tips will allow you to effectively use delegation as a critical management tool that can increase efficiency, productivity, and the overall success to your organisation. To delegate responsibilities effectively, it is important to define the task clearly, choose the right person, set expectations, provide resources, monitor progress, provide feedback, empower the person, recognise success, hold accountability, and build trust and respect. By following these methods, leaders can delegate responsibilities with confidence, knowing that tasks will be completed efficiently and effectively.
